Quotes are automatically created each time you create a new Option (top level of BOM hierarchy) in the Bill of Materials module. The Quote number is auto-generated and will be the only number that is different throughout the Project.

To view your Quote(s) in the Bill of Materials module select the “View Quotes” tab located right below the upper ribbon of the module.

In the View Quotes screen there are several tools that may come in handy as described below:

  • New Quote: Can be used to create an entire new quote number. Keep in mind each time you create a new option it will create a new quote for you.

  • Print Quote: Highlight your quote and select this item to view your Quote settings window to view, print (if necessary) and save your quote/proposal.

  • Print Est. P & L: This report will show you the Estimated Profit & Loss broken down by Product type.

  • Print BOM: This report is often used for Design checks. This report is a detailed list of your line items with list and cost only shown (no sell).

  • Submit Web Services Quote: Herman Miller and Haworth Dealers only - Use this tool for price checks.

  • Export SIF / XML: You can use this tool to Export a SIF or XML out of e-manage. This can be helpful for submitting orders for Manufacturers we do not integrate with or to export to make changes in your Specifier tool. See here for additional details.

  • Delete Selected: You can use this tool to completely delete the quote. Keep in mind you can make a quote invalid and should be very sure you are ready to delete when using this button.

  • Filter by BOM Option: Use this tool to filter down to an option to quickly locate a quote when there are multiple options on the Project.

To View / Print / Save your Quote- you may choose either option below.

Quote Options

  • Company Labels: Adjust your Bill To, Ship To, Deliver To and/or Install At by dragging and dropping from the Main Search tool if necessary.

  • Phase vs. Line Item: Line Item is the default and standard selection that will show your quote by line item. The Phase option will lump everything by phase. We always recommend setting Standards so all quotes are presented in the same way as much as possible. If you want to “phase” your quote we typically suggest doing this in the actual BOM on the Phase level and still use the “Line Item” option here.

  • View Settings: You can adjust what shows on your quote and what does not show on your quote using the check boxes under the Company Label box. Again, we highly recommend setting standards so once you determine what those standards are you can save a Default Quote Template.

  • Payment Schedule: This should auto-fill based off of the Terms of Sale selected. See here for additional details.

  • Required Fields: The fields notated with an asterisk ( * ) must be filled in. If you named your Option correctly this should auto-fill your Quote Name. Typically users will copy the Quote Name and paste in the Cover Page Title. The Prepared For field should auto-fill with the Primary Contacts name on the Project Information but can be overwrote if necessary. Salesperson should also auto-fill from the Project Information. The Terms of Sale should also auto-fill based on the Bill To Company record. Expires On will auto-default based on your Admin/Database Settings but can be adjusted when necessary.

  • Show Quote Cover Page / Show Summary Page: You have the option to turn these pages off. Note: If you want the Summary Page and Cover Page off you must turn the Summary Page off first then the Cover Page.

  • Summary Type: If you choose to show the Summary Page you should select a Summary Type. The standard and recommended selection is “Option / Phase”.

  • Direct Bill Vendor: If you are processing a Direct Bill you should select the correct Vendor here. This info is triggered by the MFG codes of the line items in the BOM. See here for additional details regarding Direct Bills.

  • Terms / Conditions: This typically will auto-default if you have a Quote Template set up with a Standard set of Terms and Conditions.

  • Deposit Inv Type: If this quote is set to collect a Deposit you should select a Deposit Inv Type which will trigger a Deposit Invoice to print at the bottom of your Quote. Standard and recommended choice here is “Option / Phase”. If you do not select a Type it will remind you at the time of printing/viewing your quote.

  • Deposit Note: Option to add a Deposit Note here that will show on the Deposit Invoice.

  • Sign Off Note: Option to add a Note here that will show right next to the Customer Sign Off area on the Quote.

  • Available Options Area: This is where all of your Options show up and you can choose to print one or multiple selections to combine Options to one quote where necessary.

Other Quote Options

  • Quote Header: Option add free-form text here that will show at the top of the Quote. Use the Builder for text that you will use on future quotes.

  • Quote Footer: Option add free-form text here that will show at the bottom of the Quote. Use the Builder for text that you will use on future quotes.

  • MFG Pricing Request History: This will show all pricing request history for applicable Web Service Vendors.
