e-manage ONE comes with many lists pre-built that we felt were the most important to have in front of you such as Current Opportunities, Current Backlog, Outstanding Acknowledgements, Open Service Tickets, etc. all from the today pop-out panel. There is no way, however, to anticipate everyone's need of putting lists together of Companies, Contacts, Projects, Service Agreements, Serviceable Items, Service Tickets, Help Desk Incidents and Assets, so we created a functionality called "Custom Lists".

Custom lists are named (named by you, the user) lists of records (one record type per list) that allows you to build your own manual list of top level record types, supply a reason for adding each record to the list.

Custom Lists can be created and added to by any user of e-manage for their own use, however with the appropriate rights, users can create public custom lists that are visible to all users and can be added to by every user.

An example of using this functionality would be to have a list of projects that need re-work on the implementation (punch list). Although you can create action items to handle rework being scheduled, a list to check up on may be useful for your company.

To add a custom list called "Punch List" click on the "Configure Custom Lists" menu item on the "Main Tool Menu".

The Configure Custom List window will pop up where you will see all previously configured lists that are public or ones you have created just for yourself. The lists are categorized by the type of Top Level Record type they hold and if there are any lists for that type of record they are denoted by a ">" arrow sign next to the Category of list. Like with any tree (or in e-manageONE grids that have sub grids), you click the ">" plus sign to see the child nodes of a parent node.

For this example, we are going to click on the "Project Lists" (just left click on that node, not any of its children) and then click the New Custom List button on the lower right of the window. The Add Custom List Window will pop-up. If you had the wrong List type selected in the Manage Custom Lists window, you can always change it here in the Add Custom List window, but if you had the correct one selected, it will also be selected in the Type drop down list box on the Add Custom List Window.

Give this list a name of Punch List by typing that name in the List Name text box. If you have the right to make public custom lists, then the "For Use By All Users" checkbox will be enabled, otherwise you will be creating a list just for yourself to add to and use.

There is nothing special that happens once you save your custom list except you will see it under the category you chose to create this custom list for in the Manage Custom Lists window. That's because this is not where you work with adding, viewing or removing records from lists.

To add records to a custom list go to a grid, recent records or favorites and highlight all of the items you want to add to a custom list using the left mouse button. Then right click on the highlighted item(s) and move down to the "Add to Custom List" menu item and choose the list you want to add the items to. In this example it will be "Punch List".

You will be asked to supply a reason for adding the record to the custom list for each item highlighted.

You can view your custom lists by clicking on the bottom of the Queries pop-out panel on the right side toolbar of the main window of e-manageONE. Find the list you want to view and double click on it.

To remove an item from a custom list, you must be either the user that added it to the list or for public lists, have the appropriate right to remove custom list items from public custom lists.
