The Main Search tool is located on the lower left corner of the main e-manage|ONE window (the location of yours may be different if you have a Saved Toolbar Layout ).
Searching for Companies
To begin, click the Search (magnifying glass icon) pop-out panel. You will see categories in expandable group boxes (defaults to “Companies & Contacts”). Go to the section you want to search. Type in your criteria and wait for a second or two and your results will automatically appear. The less information you give e-manage to search for, the more results it will return. For example, if you are looking for a Company called "Bank of Texas", you could type in “Bank”, but you would get any company that has "Bank" in the company name.
Note: It is not necessary to use the “Search For” drop down - as when you place your cursor in the different fields it will know what you are searching for. We will explore the “Search For” drop down below.
Location Names can also be used to search for companies. When you are dealing with companies with multiple locations and maybe they have already named their branches in a way that makes sense to them, it is a best practice to use the Location Name field.
Another great way to look up companies more exactly is by typing part of their address into the Address text box in the Company section of the Search tool. What's nice about using this search is that if you used prospecting to enter your companies, the address will always be correct and you wouldn't be looking for company name that could contain Acronyms depending on how they are listed in Google or how someone entered the information manually. You can enter any part of the address including Street Name or Street Number or both. When searching for companies using Address, you must press the ENTER key on your keyboard to initiate the search.
You can also look up companies by entering the telephone number. The telephone number search will find a company by the main phone or toll free numbers. When searching for companies using phone #, you must press the ENTER key on your keyboard to initiate the search.
Searching for Contacts
You can search for contacts using the Last Name field. Although the field name is last name, you can also type the first name. In the interest of returning only relevant records, you should only use the first name when the first name is unusual or as a last resort. You can also type the last name with a comma, a space and part or all of the first name i.e. "Jones, Bob".
Searching for Projects
You can find projects by project #, Job #, project name, Quote #, your PO # or see all projects in a certain status (salespeople only see their own projects) in the Projects and Jobs section of the Search tool in e-manageONE.
Project numbers are numeric, while if you set your own job #'s, they can be alpha numeric.
You can type any part of the project name to pull up projects by name. You should be mindful of how you name your projects, so pulling up a list of projects by name is easier.
You MUST hit ENTER on your keyboard to return Project Search results.
Searching for Service Items
You can search for Service Agreements / Contracts by contract number, Serviceable Items by serial number, and Service Tickets by Ticket #. After entering your criteria, press the ENTER key on your keyboard.
Other Searches
The Other Section has items that either pull up multiple different types of records, i.e. Customer PO or Invoice Number which could be for a Service Agreement, Project, or Service Ticket. Help Desk # did not fit into any other category. Customer PO and Invoice # accept alpha-numeric values, while Help Desk Number accepts only numeric entries. The Customer PO Search will only function if the PO # has been entered in the Order Entry module. You must hit ENTER on your keyboard to return results in the Other Search.
“Search For” Drop Down / Toggle
The "Search For" acts as a toggle to search for related records to a Company (i.e. you want to find a Project associated with a customer). If you wish to use this functionality, select the company or companies and then drop down the Search For field and make your selection. You may search in only one direction – from first selection to sub-selections. You cannot go back to the first selection; you have to start over.
NOTE: To select multiple companies left click the first company and drag to multi-select or, if non-contiguous, hold down CTRL key and left click companies. If you DO NOT highlight a company when flipping the "Search For" it will pull data for ALL companies on the right side of the Search panel.
