Automated Action Items Triggered by Mobile App Activity

e-manage|ONE includes automation that bridges the gap between what’s happening in the field and what needs to happen in the office to keep projects moving forward. Two key mobile app activities can automatically trigger Action Items back to the desktop application, ensuring that field updates prompt the right follow-up actions.

1. Punch List – Action Item (Hard-Coded Trigger)

When a user creates a Punch List using the mobile app, an Action Item is automatically submitted in the desktop system. This helps alert the appropriate internal team that something went wrong at the job site and requires follow-up.

Important Notes:

  • This Action Item trigger is hard-coded and relies on the exact name of the Action Item.

  • The Action Item must be named "Punch List" (case-sensitive and without extra characters or spaces).

  • Do not rename or delete this Action Item. If it's renamed or missing, the automation will not work.

This automated step acts as a first line of communication from the field to the office, ensuring visibility and accountability when jobsite issues arise.

2. Work Order Signature Capture – Action Item (Configurable Trigger)

When a user captures a customer signature in the mobile app to mark the completion of a Work Order, this action can trigger an Action Item to notify the office that the work has been completed. This is typically used to alert the team that the project may now be ready for invoicing or final review.

Setup Instructions:

  1. Open the Administrator Application.

  2. Navigate to:
    Corporate Division Configuration > Select your Division.

  3. Select the Action Item you’d like to trigger upon signature capture in the “WO Approval AI” dropdown.

  4. Click Save to apply.

Recommendations:

  • You may choose to use an existing Action Item such as "Invoice", or create a dedicated one like "Work Order Completed" to better suit your internal workflow.
