Multi-Factor Authentication (MFA)
Multi-Factor Authentication (MFA) enhances security by requiring users to verify their identity through a second method in addition to their username and password. MFA can be enabled on a per-user basis either during new user setup or by editing an existing user.
🔐 Enabling MFA During New User Setup
To create a new user, follow the instructions in our How to Set Up a New User article.
Once you're in the New User Wizard, enable MFA by checking the box labeled Enable Multi-Factor Authentication on the right-hand side of the screen.
✏️ Enabling MFA for an Existing User
Open the Administrator Application and locate the user record. Double click user to open or select user → select Open on the top toolbar.
In the user settings screen, check the Enable MFA box on the right-hand side.
Click Save to apply the change.
🔑 What Happens Next: User MFA Setup Process
Once MFA is enabled, the user will be prompted to configure their MFA method the next time they log in.
Step-by-Step:
The user logs in with their username and password.
A Multi-Factor Authentication prompt will appear asking them to choose a verification method:
SMS
Email
Third-Party Authenticator
If SMS or Email is selected, a code will be sent to the mobile number or e-mail address associated with their user profile. Third-Party Authenticator will use the Authenticator app.
Enter the 6-digit code and click Verify.
If the user doesn't enter the code in time, they can click Resend to receive a new one. Users may also switch methods by selecting Use Other Method.
Once successfully verified, the e-manage|ONE application will open.
❗ If You Run into Issues
If the phone number or email is incorrect and the user does not receive a code:
They should contact their System Administrator to update their user record in the Administrator Application.
