Best Practices
Read Release Notes
It is important that you read the release notes because there are new features and fixes to make things easier and better. Take the time to look at the new feature and call support if you need help. e-manage gets better every day and incorporating the new features immediately will only benefit you are your company.Â
Right Clicking on Grid Items
Right clicking is a fast and easy way to get to where you want to go. All the modules, history and actions are available from the right click menu.Â
Right click on existing contacts to create new project
When you right click on a contact to start a project it will automatically add the contact to the project as a project contact.Â
Creating a sample Project to practice with and test things you want to try.
We learn best by experience. Creating a sample project to practice with is a great way to gain experience by practicing. Don't worry about making mistakes :)Â
Use your Favorites Tab
The Favorites tab on the right side of screen is a great way to organize records that used often. You can organize active and/or important projects, contacts, vendors or whatever. Click here for information on how to use FavoritesÂ
Right click on contacts to send them email
Sending emails from e-manage will save them to save them as history in e-manage. It is easy to do and you can drag and drop documents onto emails from anywhere in e-manage or browse your local computer.Â
Set Project contact Types and Influence Type
Setting the Project Contact Type and the Influence Type on a project is extremely helpful to the business and your team. If a customer calls in, it is very helpful for the person that takes the call to know who they are talking to so they can best help them. It will also help with history when reviewing older projects. When a contact is added to the project it e-manage will keep a history of every project that contact was part of automatically.Â
Current Opportunities (Sales People/Sales Manager)
Current Opportunities is your pipeline of potential business and the way to manage your active projects and relationships with your customers without having to remember everything. By setting the items below you can effectively manage your opportunities and e-manage will automatically remind you of the next touch.Â
Next Touch Type (Example, Initial Contact, Follow up, Deliver Proposal, etc…)
Next Touch Date (Automatically will be put on your calendar based on this date)
Note (Note to remind you of what you previously did and what you need to do)
Sales Stage (What Stage are you in with the Sale, Qualifying, Proposed, Won, etc…)
Decision Date (The date your customer is expecting to make a decision)
Project Status (This can be manually changed or set automatically by workflow action items, Lead Identified, In Estimating, Proposal Complete, etc…)
Probability (The probability of getting the Job, 50%, 75%, 90%, etc… We use 90% to show that we have an award but have not gotten the formal PO or order from the customer)
Estimated Sale Amount (You can manually set this but it will be automatically updated when you create a quote)Â
Use ctrl F to search grids
In every grid you can ctrl F to open the "find" window. Type what you are looking for and the row will highlight it in the grid so you do not have to scroll through a long list of items.Â
Use Grid Filters
At the top of the columns in a grid, there is a filter which looks like a funnel. When you click on the filter it will expose a list of filter options. Once set, you will only see what you want in the grid. You can set multiple filters in different columns and save your grid layouts if it is something you want to use on a regular basis. Click here to learn more about grid functions.Â
Understand Grids Layouts
Take the time to learn about grids. There are grids everywhere in e-manage and you can create major efficiencies for your company, your team and yourself by understanding grids and how to use them. Click here to learn more about grid functions.Â
Revising Quotes
In the View Customer Quotes window uncheck the Valid Checkbox and Most Likely Checkbox on Quote that is going to be updated. Create a new Option in the BOM by importing or Copy and Pasting. Uncheck the Current Checkbox on the option in the BOM that is no longer current. The new option that is created will automatically create a new quote with a new quote number.Â
Hot Jobs
Hot Jobs has its own grid and is a very useful way to keep certain projects/Jobs grouped and in front of you. A good example of a Hot Job would be a job that has Punch List. You mark a Project/Job as Hot from the Actions menu on the project. After it is no longer Hot you can Unmark it as Hot from the actions menu on the project.Â
Knowing when an installation is complete
Since e-manage cannot determine if the install is actually completed on any given day, you should do the following only when the final day of installation is completed on a particular order.Â
Open install calendar
Select yesterday's date on the calendar where your installations are showing
Click on the "Scheduled Items for Selected Day(s)" in the bottom of the screen
Enter the date in the "ImplementationCompletedOn" column.Â
This will place the order in the queue "Installed, Not Yet Invoiced"
