Additional Security Features in User Record

The User Management system in e-manage|ONE offers several important security features to help you manage users effectively. Below is a breakdown of the available options:

1. Custom Password Expiration Settings

  • Set a specific duration for how often users are required to change their password.

  • Options include:
    Never, 30 days, 60 days, 90 days, 120 days, or 365 days.

  • This feature allows for greater flexibility based on your company’s security policies.

2. Force Password Change on Next Login

  • Require users to change their password immediately upon their next login.

  • This is helpful for onboarding new users or enhancing security if a user’s credentials are compromised.

3. "Logged In Status" Column in User Grid

  • A new "Logged In Status" column in the User Management grid provides a quick overview of which users are currently logged in or logged out.

  • Visual indicators make it easy to monitor status at a glance:

    • A green circle indicates the user is logged in.

    • A red circle indicates the user is logged out.

This feature helps administrators quickly identify active users without needing to open individual records, streamlining system oversight and management.

4. Force Log Out Option

  • The "Force Log Out" feature allows administrators to log a user out remotely from the User Management window.

  • This is useful in situations where immediate termination of access is necessary, such as for security purposes or system maintenance.

5. User Activity Dashboard

  • The User Activity Dashboard provides detailed insights into user behavior within the system.

    • View which windows or modules users are accessing and track how long they stay active.

    • Visual metrics display logged-in vs. logged-out percentages and "active hours" for better visibility of usage trends.

  • The activity grids and visual metrics dynamically update based on the selected date range filter.

    • Default date range: "Today"

    • Other filter options include: Last 7 Days, Last 30 Days, This Year, or custom ranges.

These features provide enhanced control and visibility into user activity, helping you maintain system security while optimizing user management.
