🏁 Getting Started with Employee Manager
To begin, you'll need to enter your employees into the Employee Manager. Here's how you can do it:
Go to the Human Resources tab along the top toolbar → Select Employee Manager.
Adding New Employees: Click on New Employee to add an employee. You'll be prompted to fill in all the necessary information. Ensure you complete each field to maintain accurate records.
✏️ Viewing or Editing Employee Details: To view or update an employee’s information:
Select (highlight) the employee’s name from the list → click Open in the top toolbar (or double-click the employee’s name)
This will open the employee record, where you can review and make any necessary updates.
To ensure accurate time tracking and avoid errors, specify the "Overtime Type" for each employee.

Enter Employee Information: Enter your employees' basic details.
Linking to e-manage|ONE Users: Attach employees to e-manage|ONE users if applicable for integrated functionality.
Salesperson and Installer Assignment: Assign employees to their roles (e.g., salesperson, installer). If an employee is missing from the dropdown, see the

Pay Schedule: This field determines which schedule is selected by default when an employee uses the time clock. Only one default pay schedule should exist.
💵 Pay / OT Rates
Configuring pay rates correctly ensures that your project labor costs are accurate and your payroll exports to QuickBooks are seamless.
⏱️ Hourly Employees
For staff paid by the hour, you must set up a Pay Schedule for every rate type they use (e.g., Regular, Overtime, Double Time).
Naming Convention: The name of the Pay Schedule in e-manage|ONE must exactly match the QuickBooks Item Name.
Set-up: Create a unique entry for each available schedule to ensure the time clock maps data correctly.
💼 Salary Employees
Since salaried employees don't have a "per hour" pay rate in the traditional sense, you must calculate an Actual / OT / hr rate to ensure accurate job costing on projects.
Base Rate: Divide the annual salary by 2080 hours (the standard work hours in a year).
Burdened Cost: Add a percentage to that base rate to account for employer taxes and benefits.
Example: > A $36,000 annual salary $\div$ 2080 = $17.31/hr.
After adding estimated taxes and benefits, the final Actual Employee Cost entered might be $21.64/hr.
NOTE: No Automatic Sync: Pay rates entered in e-manage|ONE do not push to QuickBooks. You must manually enter the corresponding rates in your QuickBooks payroll settings.
Ensure each employee has one (and only one) schedule marked as their Default to prevent errors when they use the Time Clock.

✚ Additional Sections in Employee Record
Notes: Notes specific to each employee can be added here.
Emergency Contacts: Enter all necessary emergency contact information.
Issued Assets: Keep a record of all assets issued to employees from the e-manage|ONE Asset Manager (Ex: laptop, PPE, tools, etc.).
Documents: Attach relevant documents such as driver's abstracts, resumes, etc., to the employee's record.
Sick / PTO Days: Manage and track sick days and paid time off.
Employee Supervisors: Designate supervisors who can clock in their entire crew with a click of a button using the Crew Mobile App. This is essential for enabling functionality in the Crew Mobile app. See here for more details: e-manage|ONE Crew App
