Using the Time Clock

To use the Time Clock within the Main e-manage|ONE Application go to the Human Resources menu and select "Open the Time Clock". There are several rights under the Category "Human Resources" associated with the Time Clock and Time Entry that a user must have rights to in order to complete some of the below functions. Also, the user must be entered in the Human Resources - Employee Manager module and activated to "Show Emp on Time Clock".

Clocking In Using the Time Clock 

  1. If you are a user and marked to be shown on the Time Clock when you open the Time Clock from the Human Resources menu it will automatically select your name, today's date & the default pay schedule (See Employee Manager for additional info on Employee Record setup)

     

  2. You now have the option of either using the "Current" button to pull the current time (time zone setting on each employee record in the Employee Manager) or you can manually enter the time on your keyboard. If you choose to manually enter the time be sure to use the time format shown below to include "AM" or "PM".

     

  3. If the employee is not required to enter a Project (in Employee Manager) at this time you can choose to not enter a Project # or enter the Project # and Save. The Customer Order should auto-populate if there is only (1) order on the Project. If there is not an order yet it will populate automatically with the text "New Order" (this is just a blank order until an order has been processed on a Project and then it will auto move to the Order processed). If there are multiple Orders on a job you will have to select this drop down to apply to the appropriate order before Saving.

    1. Note: Same process applies to entering time against a Service Ticket with the exception of connecting to a Customer Order

       

  4. After selecting Save you will now see your time entry populate on the lower portion of this screen along with ALL time entered for that date. You can use the filters or sorting to narrow down to what you might be looking for.

     

    IMPORTANT NOTE: You can select multiple employee's at one time by using the check box next to the employee's name. You can also pick a different date when necessary.

Clocking Out Using the Time Clock or Logging Your Break (Lunch Out & In) 

  1. Select the employee name from the list below the time clock and notice the original Clocked In information populates in the upper portion of the screen.

     

  2. Use the "Current" button to the use the actual time or type in your Out time manually in the "Time Out" field. Be sure to use the correct formatting if manually typing your time out as mentioned in the steps for clocking in.

    1. Note: If needed you can log your break / lunch by using the same methods explained above with the only difference being the field you are inputting

       

  3. Select "Save" and you will notice the time entry on the lower portion of the screen has updated accordingly

     

    Updating Existing Time Sheets

You can update existing time sheets if any corrections need to be made by basically using the same method of Clocking Out: 

  1. Open the Time Clock

  2. Select the Date you wish to update a time sheet on

  3. Double click the row header of the time entry on the lower portion of the screen

  4. Adjust the Time In, Lunch Out, Lunch In, Time Out, Customer Order and/or Project/Job as necessary

  5. Save 

Note: If you do not see the Project / Job you are looking for you can select "All" as it may be cancelled or completed and by selecting "All" it will show you ALL projects in your database
