Setting Up Auto-Part Templates

Auto Part Templates offer a convenient way to streamline the Bill of Materials (BOM) process by automatically adding multiple items without the need for extensive searches. Additionally, these templates can perform calculations based on the items within the BOM. This guide will walk you through using Auto Part Templates effectively.

Accessing Auto Part Templates: Begin by clicking on the "Tools" menu and selecting "Configure BOM/Quick Quote Auto Parts."

Creating an Auto Part Template:

  1. Any existing templates will be displayed in the central grid. To create a new template, provide a clear and descriptive name and description that indicates what the template includes.

  2. Optionally, categorize the template to assist users in finding the right one. You can also choose a Corporate Division or check the "Available to All Divisions" option. Click "Save."

In this first example we will make an auto part template that has a part called "Design Fees" with set values (specified quantities) and an overhead part that will add 8% onto our entire cost to cover internal cost of doing business. This

In the Name and Description we will enter "Design Fees and 8% Overhead" in the description we will add "$425 design charge and 8% added to entire cost of product". You can choose to add this template with a category to further help the end user find the right template to use on the BOM (this is a drop down list managed by your administrator so if you think there might be some missing, please see your administrator). Choose a Corporate Division (or check the "Available to All Divisions" check box). Click the "Save" button.

Configuring the Template: Once you've created the template, select it from the grid to work on.

Adding Parts: Navigate to the tabs at the bottom of the window. You can add parts using the "Part Search" tab or select from your favorite parts under the "Favorite Parts" tab. For this example, we'll use "Part Search."

  • Enter criteria in the search boxes to find specific parts.

  • Double-click on the part you want to add. The "Configure Auto Part" window will appear.

Configuring Auto Parts: Here, specify how the auto-part will interact with the template. You can choose to add it to a phase or to the BOM for every phase created.

  • If adding to a phase, type a phase name and description or choose from existing options in the drop-down list.

  • To calculate based on the cost, list price, weight, man-hours, quantity, customer price, or cubes of other items in the BOM, select the relevant option in the Auto-Calculation section.

 

Additional Options:

  • You can specify the quantity for the part.

  • Use a factor to adjust the calculated quantity. For example, a factor of 0.8 would take 80% of the calculated quantity.

  • Allow the sales price to be adjusted based on this part's margin, markup, or customer discount.

  • Calculate on other auto-part values, useful when applying overhead to multiple parts.

Tip: To determine the sorting order of phases, simply include a number followed by a closing parenthesis and a space within the phase name. For instance, "96) Design and Project Management Services" as demonstrated below will position this phase automatically as the 96th in the added Option, placing it toward the bottom of your quote.

Selecting Product Types: Determine which product types the auto-part's calculation will apply to. For overhead parts, you can choose to calculate on every product type by checking all the options.

Set up the initial part just as you did with the Design part. In the Auto-Calculation section, select "Calculate the Quantity of this part by Summing the Cost of the chosen product types," and then save your configuration by clicking the "Save" button within this section.

Now, let's specify the product types to which the 8% (.08) will be applied. Given that this is an overhead part, you'll want it to calculate across all product types. To do this efficiently, click the "Check All" button. Close the window once you've marked all the product types for calculation.

You can instruct the part to calculate its quantity based on one of the following criteria:

  • Calculate from Cost: This totals the cost of other items in the BOM that match the selected product types in the Product Type grid.

  • Calculate from List: It sums up the List Price of other BOM items matching the chosen product types.

  • Calculate from Weight: This aggregates the weight of other BOM items that align with the selected product types.

  • Calculate from Manhours: It tallies the manhours required by other BOM items matching the chosen product types.

  • Calculate from Qty: This combines the quantities of other BOM items that correspond to the selected product types.

  • Calculate from Customer Price: It adds up the Sale Price (before tax, except in "Lump Sum Sale" pricing type where "Use Tax" is included in your cost) of other BOM items matching the selected product types.

  • Calculate from Cubes: This calculates the sum of the Cubes for other BOM items matching the chosen product types in the Product Type grid.
